Class Schedule Manager
The Classes page shows your customers your class schedule for all of your locations. In order to create your Classes page, the system automatically pulls together the setup information you have provided for Teachers, Locations and Class Types.
This is a sample of a classes page.
To access your Classes Page, select the appropriate option on main menu, as indicated below.
Entering classes
The classes grid shows a list of the classes you have defined for your business. The sample below shows a list with a few classes defined.
Note that for each class you can see the total number of seats, the number of online registrations and the number of outside registrations.
Click on the "Add New Class" button to add a new class. You will be presented with a blank form to fill out.
Select the class type, location and teacher and enter the day of week, time, duration and start date as is appropriate for the class. You can optionally enter a unique code for the class so you can identify it easily in emails and reports.
Enter the full number of students you will accept in the class in the "Total Seats" field. Enter the number of people who have signed up outside of the system in the "Outside Registrants" field. You can update this field later if more people register for the class outside of the system.
If at any time you no longer wish to accept registrations for this class, you can set the status to "Closed." You can set the status to "Draft" to hide the class until you are ready to display it.
You can also use the sort buttons to change the order of your classes.
Other functions for Your Classes Page
There are additional features related to maintaining the classes you have defined. The are intended to make the process of updating your classes over time more convenient. This is the set of buttons associated with these features.
Updating available seats for your classes
This feature allows you to record registrations that occur outside of the system for all of your classes at once. It also allows you to change the total class size as well. Just click on the "Update seats" button and you will shown a form like the one shown below. Update the totals for your classes and click on "Update" to save your changes.
Rolling classes forward
The "roll forward" feature allows you to take a class schedule that already exists, like "Fall 2005" and advance it into the next season, like "Winter 2006." With this feature you can keep the entire class structure unchanged and just update the start dates. Of course, you can also change any element of the schedule you like - location, time, teacher, etc. You can even pick and choose which classes from the current schedule you wish to keep and which you don't.
Click on the "Roll Classes Forward" button to see the interface for this feature. The page will show you a list of your current classes. Use the checkboxes in the "Roll Forward" column to pick which classes you want to keep. You can update any of the information in the other fields if you wish, or leave it as is. Click the "Roll Classes Forward Now" button when you are ready to commit to your changes.
Saving the current schedule
If you like, you can save the current schedule to roll forward at another time. This can be useful if you have different schedules by season. For example, your spring schedule might be the same as your fall schedule, but your summer schedule might be very different. In that case, you could save the spring schedule and use it to set up your fall classes after your summer session is over.
Click on the "Save Schedule" button to save the current schedule. You will be shown a form for saving the schedule. Enter a name for the current schedule and click on "Save" to save the schedule. You can use the schedule later by using the "Restore & Roll Forward" feature.
Using a saved schedule to roll forward
Once you have saved a schedule, you can use it later by clicking on the "Restore & Roll Forward" button. Clicking on this button will take you to a list of all of your saved schedules. The example below shows a list with a few schedules saved. Find the schedule you want to roll forward in the list and click on the "Restore & Roll Forward" link next to it. You will be taken to the roll forward page with the selected scheduled loaded. Follow the instructions for rolling forward described above to accept the new schedule and replace your current one.
